Terms of Service / Patient Policies

What to expect as a patient at Ravora Health

These Terms of Service and Patient Policies describe the general policies for receiving care from Ravora Health. We believe in being clear about how we work together so you can feel informed, respected, and supported throughout your care journey.

Please note: This page describes general practice policies for informational purposes. It does not replace formal intake paperwork, informed consent forms, financial agreements, HIPAA forms, or clinical consent forms provided during the intake process.

Patient-Provider Relationship

Receiving care from Ravora Health requires proper intake, consent, clinical evaluation, and acceptance as a patient. Submitting a form, booking request, or contacting the practice does not automatically establish a provider-patient relationship. A formal relationship is established after you complete the intake process and have your first clinical appointment with one of our providers.

Appointments and Scheduling

Appointments must be confirmed by Ravora Health. Submitting an appointment request does not guarantee a confirmed appointment — our team will review your information and reach out to schedule. We ask that patients attend scheduled appointments on time and notify us as early as possible if they need to cancel or reschedule.

Cancellations and No-Shows

Ravora Health may charge a cancellation or no-show fee for appointments that are missed or cancelled without adequate notice. Specific cancellation and no-show policies will be provided separately or during the intake process. We value your time — and we ask that you value ours, so we can keep appointment availability open for all patients who need care.

Payments, Insurance, and Billing

Patients are responsible for providing accurate insurance and billing information. Insurance coverage is not guaranteed — and patients may be responsible for copays, deductibles, coinsurance, denied claims, or services not covered by their insurance plan. We encourage you to verify your coverage and understand your plan's mental health benefits before your first appointment.

Telehealth Services

Ravora Health may provide services through telehealth when clinically appropriate. Patients are responsible for being in a private, safe, and quiet location during telehealth visits, with a stable internet connection. Patients must also provide accurate information about their physical location at the time of service, as laws and regulations may vary by state.

Emergencies and Crisis Situations

Ravora Health is not an emergency or crisis service. Patients should not use website forms, email, voicemail, or routine messaging for emergencies — these channels are not monitored in real time.

If you are experiencing a medical emergency, having thoughts of suicide, thoughts of harming yourself or others, or any other immediate safety concern:

  • Call 911 or go to your nearest emergency room
  • Call or text 988 for the Suicide & Crisis Lifeline (24/7)
  • Go to your nearest hospital emergency department

Communication Policy

Routine messages may not be reviewed immediately. We aim to respond to non-urgent communications within one to two business days. For your privacy and safety, patients should use approved communication channels such as the patient portal, EHR messaging system, or other secure tools provided by Ravora Health for clinical matters. Email, website forms, and general contact forms should not be used for urgent clinical concerns.

Prescription and Refill Policy

Medication refills require clinical review and may require a follow-up appointment. Patients should request refills several days before running out of medication to allow adequate time for processing. Ravora Health providers may decline to prescribe or refill medications when it is clinically inappropriate, unsafe, or outside the provider's professional judgment.

Controlled Substances

Controlled substances are prescribed only when clinically appropriate and in compliance with all applicable federal and state laws and regulations. Ravora Health may require regular follow-up visits, ongoing monitoring, prescription drug monitoring program checks, urine toxicology screening, or other safety measures for patients prescribed controlled substances. These measures are in place for your safety and the safety of the community.

Patient Responsibilities

To help us provide you with the best possible care, patients are responsible for:

  • Providing accurate and complete medical history and medication information
  • Providing accurate insurance information and keeping it updated
  • Keeping your contact information current
  • Letting us know about changes in your symptoms, medications, or safety concerns
  • Attending scheduled appointments or cancelling with adequate notice
  • Following the treatment plan discussed with your provider

Privacy

Your privacy is important to us. For information about how we handle website data, please see our Privacy Policy. For information about how we protect your health information under HIPAA, including your rights to access and control your medical records, please see our Notice of Privacy Practices.

Updates to These Policies

Ravora Health may update these Terms of Service / Patient Policies periodically. Continued use of Ravora Health services means you agree to follow the current policies. We will post any changes on this page and notify patients of material changes as appropriate.
